How to Prepare a Cooling Fan RFQ for an OEM Project
Specify the fan assembly and connection details before comparing quotations. Image source: WEIKEHENG website.
A useful cooling fan quote starts with a clear request for quotation, or RFQ. When suppliers receive the same technical and purchasing requirements, your team can compare their responses and identify open questions before a sample order.
For an OEM project, treat the fan as a defined assembly. The approved configuration should cover the product, wiring, documentation, packaging, and any agreed customization.
Separate fixed requirements from open choices
List what the design already requires: supply voltage, mounting envelope, connector interface, operating conditions, and target cooling performance. Then identify what suppliers may propose, such as a different cable length or another model for evaluation.
If your thermal requirements are still being developed, say so. Share the available test results and explain which decisions remain open. This gives the supplier a clearer basis for a recommendation than an unsupported airflow target.
Put customization into the specification
Describe cable length with a measurement reference and tolerance. Identify the connector manufacturer and part number, pin assignment, label content, and packaging requirements. Attach a revision-controlled drawing when available.
For a DC fan with PWM control, define the interface from the selected model's documentation. PWM can allow speed adjustment, but the supported signal characteristics and speed response must be checked for the proposed version.
Include a purchasing brief that suppliers can answer
Use the following checklist as the starting point for your RFQ:
- Project name and specification revision
- Requested model or application requirements
- Sample quantity and estimated annual volume
- Expected order quantities and purchasing schedule
- Requested ship date and delivery destination
- Drawing, connector, cable, label, and packaging requirements
- Required product documentation and approval criteria
- Requested quote validity, payment terms, and freight scope
For a U.S. or Canadian project, identify the documentation your product team requires for that exact component and application. Request relevant model-specific records instead of relying on a general certification logo.
Compare the full scope of each quote
Ask suppliers to identify the quoted configuration, minimum order quantity, sample cost, production price breaks, and any setup or customization charges. Request separate confirmation of product availability and the proposed shipping schedule.
Clarify whether freight is included and which delivery terms apply. Compare the same quantities and scope across quotations. A lower unit price may cover a different connector, packaging arrangement, or delivery responsibility.
Approve a sample before releasing volume
Define the acceptance checks before the sample arrives. These may include dimensional inspection, connection verification, startup behavior, thermal testing, monitoring compatibility, and noise evaluation in the finished equipment.
Once approved, record the exact model and revision. For repeat orders, ask how configuration changes will be communicated and how shipment labels will identify the supplied part. Keep the sample approval, specification, and purchase order aligned.
